The Core family

Five tools. One standard.
One person behind them.

They don't share a login or your data. Each is a separate product that does one job properly. What they share is the standard they're built to, and the Lead Assessor who built them.

SafetyCore

Hazard analysis through to an approved HACCP plan, with every CCP decision and revision on record.

SupplierCore

Supplier approval, raw material risk assessments and specifications, connected by material code and signed off by the supplier.

AuditCore

Internal audits for food safety and health & safety, with non-conformances tracked through CAPA.

ComplaintCore

Customer complaints and feedback, with AI analysis picking out the causes that repeat before you would spot them yourself.

HACCP Plan Generator

A HACCP plan for a small bakery, written in plain language, without a blank page to fill. It doesn't need the others. It's the one to start with if a plan is all you need.

The problem

The answer is in your complaint log. Nobody has time to read it.

Most sites run complaints from a spreadsheet and an inbox. Each one is logged, investigated and closed on its own. It works until an auditor asks how complaints are trending, which batch is behind the last six, or whether last quarter's corrective action actually worked.

And a count says little on its own. Twenty complaints on a line that shipped ten million units is a different story from twenty on a line that shipped one million. That is why ComplaintCore reports complaints per million units against the targets you set.

AI analysis

Two buttons that do the reading for you

Find patterns

For the technical team. Reads every complaint matching your filters, every breakdown and the previous period, and names the product, line, batch or retailer behind what stands out.

Management review

For the whole management team. A plain-English first draft of the complaints section of your review: against target, against last year, safety, corrective action and what to decide.

Written to a quality analyst's rules

  • Every number it states comes from your data. It does not estimate.
  • It says when a group is too small to read into, instead of calling two complaints a 50% rise.
  • Illness, injury and allergen complaints are always reported, however few.
  • Causes come back as things to check, never as findings. It never invents actions, owners or clause numbers.
Find patterns Sample data

Headline

Mould growth accounts for 85 complaints, 79 of them on Derby / Line 1, peaking at 26 in August 2025. It has since ended: soups have been under target since November.

Safety-relevant

  • Allergen involved: 18, including 4 allergic reactions on Spalding / Line 7.
  • Repeat batch L260914B, Sliced Ham 180g: 4 complaints, all packaging defects.

Worth checking next

  • Does batch L260914B share a seal or film issue with the 5 seal failures on Wrexham / Line 4?

Where your data goes. Only totals are sent: counts, units, rates and categories. Complainants' names, addresses and what they wrote never leave your system. The analysis runs on Anthropic's Claude and is included in every plan, with a monthly allowance shown next to the buttons.

How it works

From the first phone call to the management review

1

Log it in a minute

Customer, product, batch code, category and the complainant's photos and documents, with retailer head offices picked from a list instead of retyped. Search and filter the whole register in one place.

The complaint register searched for one product, listing complaints with dates, customers, categories and statuses.
2

Investigate it properly

Examination findings, root cause category, containment, corrective and preventive action, an owner and a due date. Then the check that the fix worked. It is the record an auditor expects to follow.

The investigation tab of one complaint showing root cause category, action owner, due date, root cause, containment, corrective and preventive action and the effectiveness check.
3

See the trend, not just the total

Year to date against last year, complaints per million units against target, and an alert when one batch draws repeat complaints. Measure per tonne or per pack if that is how you report.

Two charts: weekly complaints this year against last year, and monthly complaints per million units against last year.A batch trend alert naming a batch code, its product and the number of complaints against it.
4

Know which customer is out of line

Rates by retailer, product group and site, each against its own target, with the figure printed beside every bar. Then press Find patterns to see why.

A bar chart of complaints per million units by retailer, each bar coloured against its target.

Features

Everything the AI reads from

Rates against target

Import products and volumes from CSV, set targets, and see complaints per million units by customer, product and site. Or per tonne, or per 10,000 packs.

Batch trend alerts

The dashboard flags a batch that has drawn several complaints, so a repeat cause shows up before the next one arrives.

Report builder

Lay out the charts and tables you want for a management review, then print the pack.

Letters drafted for you

Consumer acknowledgements and outcome letters, and factual retailer reports, drafted from the record for you to check and send.

Accounts and security

Invite-only accounts with owner, admin and user roles, two-factor sign-in and a sign-in security log.

Your own database

Each customer runs a separate instance with its own database, hosted in the UK and backed up every night.

Who it is for

  • Technical and quality teams at UK food manufacturers supplying retailers.
  • Sites working to BRCGS Food Safety that need complaint trending and documented CAPA.
  • Teams who want to report complaints per million units rather than raw counts.

What it is not for

  • It is not a helpdesk or a consumer-facing contact form.
  • It does not connect to retailer portals or your ERP. Volumes come in by CSV.
  • It does not export to PDF; reports are printed from the browser.

I built ComplaintCore after years of watching good sites miss the pattern in their own complaints. Every complaint closed properly, and nobody stepping back to read across them.

Questions

Frequently asked questions

What is ComplaintCore?

ComplaintCore is customer complaint management software for UK food manufacturers. It keeps a complaint register, records each investigation through to root cause, corrective and preventive action and an effectiveness check, tracks complaints per million units against target, and uses AI to find patterns across your complaints by product, customer, category, batch and month.

How much does ComplaintCore cost?

£60 per organisation per month, or £600 per organisation per year. That includes unlimited users, AI analysis with a monthly allowance, your own database backed up every night, and help by email. There is no setup fee. VAT is not currently charged.

What is CPMU (complaints per million units)?

Complaints per million units is the number of complaints divided by the number of units sold, multiplied by one million. It lets you compare complaint levels fairly across products and customers with very different volumes. ComplaintCore calculates it from sales volumes you import by CSV and shows it against the targets you set. If you measure differently, for example per 10,000 packs or per tonne, choose that in Admin and every screen, report and AI read-out uses it.

Does ComplaintCore help with BRCGS complaint handling?

Yes. It records what a BRCGS auditor expects to follow for each complaint: the details, the sample examination, root cause, corrective and preventive action, who owns it, and whether the action was effective, with trend analysis across the year. It supports your complaint-handling system; it does not certify it or guarantee an audit result.

What does the AI do, and what data does it see?

Two buttons: Find patterns reads across every complaint that matches your filters and reports what stands out; Management review drafts the complaints section of your management review. Only aggregated figures are sent to the AI, never complainants' names, addresses or complaint text. It states only figures from your data and does not invent causes or actions.

Can ComplaintCore write letters to consumers and retailers?

Yes. It drafts letters from the complaint record for you to check and edit before sending: consumer acknowledgements, holding replies and outcome letters that are warm and admit no fault, and factual retailer notifications and investigation reports.

Is there a free trial?

Yes, 14 days with no card needed, starting with two years of sample data so you can see every screen working, cleared in one press when you are ready. Start yours from this page in a couple of minutes.
